Wedding Car Hire Terms and Conditions
- The vehicle(s) will be clean inside and out and decorated with cream or white ribbons, unless otherwise arranged. Flower arrangements or chilled champagne can be ordered.
- The vehicle(s) will arrive at the agreed time and date specified on the booking form. The hirer must ensure that all agreed passengers will be ready for departure at that time. No additional journeys will be made other than those defined and agreed on the Booking Form.
- The period of hire is from an hour before the time of the Wedding Ceremony to two and a half hours after the time of the Wedding Ceremony.
- Our chauffeurs will choose the route based on local knowledge or satellite navigation. The drivers will use their judgement at a sensible speed in relation to road and weather conditions. No responsibility can be taken for route closures or for restrictions relating to vehicle access to any location or hold ups en route or adverse weather conditions. We cannot be held responsible for late arrival or cancellation due to circumstances beyond our control. The company recommend that you are covered by adequate wedding insurance.
- If adverse weather conditions exist and in our opinion it would be safer to use a more modern car we will substitute the older car with a modern car (eg in wintry (icy) conditions).
- We are very happy to provide access to, and to assist photographers take wonderful photos - given the integrity of the car is not in question. All photographic locations other than the pickup, ceremony and reception locations must be approved in the Booking Form one month before the day of the Wedding.
- We do not allow Photographers to travel in our cars with the Bride, or the Bride and Groom. If you require a Photographer to travel in our cars this must be pre-arranged / approved by us. Photographers are not allowed to take photos whilst travelling in the car ... and must not distract our drivers ... and must at all times follow our drivers instructions.
- We carry the Wedding Party from the place of Pickup, Deliver them to the Ceremony and thence to the Wedding Reception if in a different place than the Ceremony as per our Booking Form. Any Bespoke variation other than these three locations must be approved 30 days before the Wedding and documented after approval on the Booking Form.
- The hirer is responsible for any damage caused to the vehicle(s) by themselves or guests. A minimum charge of £250 will be made to cover valeting costs should fouling be caused by any passenger through drink, food or illness. Smoking or eating is strictly forbidden in all vehicles.
- Passengers are required to wear seat belts where fitted. We carry children below 14 years of age in the vintage/classic cars but most of the older cars do not have seat belts. However, if it is your wish for a child to travel in one of these cars, the parent or guardian accepts responsibility.
- All passengers are requested to ensure that all belongings are taken with them before vacating the vehicle(s). Valuables should not be left in the vehicles during the ceremony unless we are notified and undertake to ensure their safety. Every effort is made to ensure against damage to, or loss of property when either stationary or travelling in our vehicles.
- Viewing and booking: you are welcome to arrange an appointment. We prefer the Bride and Groom to be familiar with the cars in preparation for their Wedding Day.
- Should you wish to book a car we will provide you with a firm quotation for agreement prior to booking which is subject to revision should your requirement change.
- After receipt of the completed booking form and deposit your booking is considered ‘firm’ and entered onto our calendar. The Booking Form and Payment must be fully completed one month before your wedding.
- We reserve the right to suspend any arrangements if (1) the Booking Form is not fully completed a month before the Wedding or (2) we have any reason to believe the integrity of our cars will be compromised on the Wedding Day.
- If we do suspend our involvement in a Wedding arrangement then we will apply costs / administration costs / opportunity costs before any refund.
- Late Bookings (those made with less than a month before the wedding) are exempt from the one month rule but the Booking Form is to be approved and Payment made two days before the Wedding Day.
- Bookings are confirmed once the booking fee has been paid and the Booking Form Received. A non refundable booking fee of £200 is required. The balance outstanding must be paid 30 days before the wedding date. Bookings not fully paid 48 hours before the Wedding Date will be suspended ie we will not officiate at the Wedding.
- We use E5 in our Classic Vehicles. If E5 is not available then we reserve the right to cancel our Booking.
- We do not, under any circumstances, take instruction or converse with Wedding Planners / Coordinators. Our client is the person named on the Booking form.
- Cancellations must be made in writing. All cancellations incur a minimum charge of £200. Where a Wedding is post phoned the deposit will be transferred to the new date.
- Should the hirer cancel within 180 days of the original wedding date the balance is due in full. In the unlikely event that we secure a Booking on that date all monies will be refunded.
- West Sussex Classic Wedding Cars reserves the right to substitute vehicles in the event of mechanical failure or other circumstances beyond our control. Vehicles of a lesser hire charge will entitle the hirer to a refund of the difference. Where a vehicle of a higher charge is substituted no extra charge will be incurred by the hirer. We will discuss this with the hirer as soon as we are aware of the problem.
- There are no seatbelts in our Classic Cars. There are no options.
